Alert & warning thresholds

Turns your on-hand stock into a “what’s available this week” email in a couple of clicks. It reads everything that’s arrived or collected with quantity remaining and builds an availability table automatically, with a live preview of the email.

How you use it: Open the 🦪 Fresh sheet tab. Review the auto-built availability list, edit the intro line and subject, tick which clients should receive it (all emailable clients are selected by default), and send. It goes out through Broadcasts, so the sent history shows who opened it. Handy for moving stock that’s selling slowly, or announcing a fresh delivery.

Adds reorder shortcuts to each client’s private ordering page so regulars can repeat a previous order in a single tap, instead of re-entering the quantity each time.

How you use it: Nothing to set up on your side. On their portal, clients see a “Reorder your usual — X dozen” button (their most recent order) and a “🔁 again” button on each past order; tapping one pre-fills the order form. Their order still arrives to you as a normal request to confirm, price and schedule.

For clients who take the same amount every week. Adds a “Standing orders” section to the dashboard, and a procurement hint that compares what you’re committed to against what’s in stock.

How you use it: Set a standing order once — e.g. “40 dozen every Friday, created 2 days ahead” — and a confirmed order is created automatically each week (deduped, so it never doubles up). Pause or delete any time. The section header shows your total weekly commitments vs available stock and suggests roughly how much more to buy. A daily automatic job does the creating, so you don’t have to remember.

Turns your sent invoices into a money picture: how much is outstanding in total, per client and by age (0–30 / 31–60 / 61–90 / 90+ days). You record payments as they arrive — part-payments included — and an invoice flips to Paid automatically once its payments cover the total.

How you use it: Open the 💰 Money tab. Each client shows their open invoices with what's been paid and what's still due; “Record payment” logs an amount, date and method against an invoice. “📧 Statement” emails that client a tidy summary of all their invoices, and “🔔 Remind” sends a friendly nudge about one overdue invoice. Removing a payment re-opens the invoice.

What you actually make. A month-by-month view of sales minus stock purchases minus running expenses, a per-client margin estimate (who's profitable, who isn't), and a warning when a client's per-dozen rate has slipped to within 10% of your cost.

How you use it: Keep recording the cost on incoming stock orders (Operations tab) as you already can, and log running costs — fuel, ice, packaging — on the 📊 Margin tab. Everything else is automatic. Per-client margin spreads the window's total stock spend across every dozen sold, so treat it as a guide, not bookkeeping.

The week ahead for each harvesting area: daily low-tide times (your work window), rain/runoff, wind and sea state, with every day rated Good / OK / Poor and a ⭐ pick for the best collection day. The current algae reading, harvest verdict and your recorded DFFE class sit in a banner on top — an area marked Closed rates every day Poor.

How you use it: Open the 🌊 Planner tab and flick between areas. Plan collections around the green days and their low-tide times (about an hour either side is workable). Tides and weather are forecasts (Open-Meteo); the algae level is the current satellite reading — re-check the dashboard on the day itself.

Pings you the moment a client places an order on their portal, instead of the order sitting quietly as “requested” until you next open the dashboard. You get an email showing who ordered, how much, the date they asked for and any note — with a button straight to the dashboard to confirm it. For a push notification too, allow notifications on the Oyster weather page (the 🔔 there) on a phone that's signed in to /manage — order pushes only ever go to signed-in phones, never to public weather subscribers.

How you use it: Switch it on and add the email address(es) to ping in the box that appears below (up to 5 — you, a partner, whoever confirms orders). That's the whole setup. Only portal orders trigger an alert (including one-click reorders); orders you create yourself on the dashboard don't ping you. If an alert ever fails to send, the client's order is still saved safely — the alert is a bonus, never a gatekeeper.

One search box over the whole system: clients (name, contact person, phone, email, address), client orders (client + notes), invoices (number or client), incoming-stock batches (source, lot code, grower), quotes and tasks. No more scrolling long lists to find “that delivery for the place in Parkhurst” — type a couple of letters and everything that matches, of every kind, comes back grouped.

How you use it: Open the 🔍 Search tab and type at least two characters — results appear as you type, grouped by kind (Clients, Orders, Invoices, Stock batches, Quotes, Tasks) with the key details on each hit and a link to the tab where that record lives. Great for “which invoice was that?”, “what's this client's number?”, or finding every order that mentions a note like “back door”.

A big-button, phone-first screen for whoever is actually driving the run. It shows the day's stops in your saved run order as large cards — tap the address to navigate, tap the number to call — with one thumb-sized ✓ Delivered button per stop. Marking a stop delivered opens the proof-of-delivery fields (who you spoke to + a note) and, new with this module, a 📷 photo: snap the drop on the doorstep and it's stored with the order as photo proof. Photos are compressed automatically on the phone before upload, so they're quick even on mobile data.

How you use it: On the driver's phone, sign in to /manage and open the 📱 Field tab (send them the link — they'll need the admin code once). The day defaults to today; big buttons do the rest: ✓ Delivered stamps the time, then fill in who you spoke to, add a note, and tap 📷 Add photo to use the phone's camera. Back at your desk, the run sheet and dashboard show the same progress — and a 📷 marker wherever a photo was taken (tap to view). Undo is right there if a stop is marked by mistake.

Downloads your business data as spreadsheet files (CSV — opens in Excel, Google Sheets or Numbers): deliveries, invoices, payments, running expenses, clients and incoming stock, each with a date range you choose. This is the “hand it to the accountant” and “keep my own backup” module — at tax time you export invoices + payments + expenses for the year and you're done, no copy-paste from the screen.

How you use it: Open the 📤 Export tab, pick a from/to date (or leave both blank for everything), and tap the file you want — it downloads immediately. Each export matches what the corresponding tab shows: deliveries include proof-of-delivery details and prices, invoices include their status and totals, payments show which invoice and client they settled. Tip: run the same exports monthly and drop them in a folder — that's a free off-site backup of the business.

Two emails the app now sends by itself, so cash flow and sales don't depend on remembering. ① Overdue-invoice reminders: any sent invoice still unpaid after 30 days gets the same friendly nudge as the 🔔 Remind button — automatically, and never more than once a week per invoice (a manual nudge also counts, so nobody gets double-chased). ② The Monday fresh sheet: every Monday morning, if there's stock available and the Fresh Sheet module is on, the availability email goes to all clients with an email address — through Broadcasts, so opens are tracked as usual.

How you use it: Switch it on and it runs with the daily automatic job — nothing else to set up. Reminders use the same records as the 💰 Money tab, so recording payments promptly is what stops a client being nudged. The Monday fresh sheet only goes out when the Fresh Sheet module is also on and something is actually sellable — an empty week sends nothing, and each one it does send appears in the Broadcasts history like a hand-sent one.

For winning new restaurants and stores. Build a line-item quote, email it, and the prospect gets a private link with Accept / Decline buttons. Once accepted, one tap converts them into a client with their per-dozen rate pre-filled from the quote. Also adds a public price-list page you can share with anyone who asks what you charge.

How you use it: Open the 🏷 Quotes tab. Fill in the prospect, add lines (each line is a description, quantity and a line total), create the draft, then “📧 Send quote”. You'll see when they accept — then “→ Convert to client” creates them in Operations, ready for a portal link and their first order. Edit the price list at the bottom of the same tab; its public link is shown there.
